Overview

When new participants or members signup up for your organisation they get set with a special status so that they don't appear on person lists until they are "approved" by an administrator - even if they have already paid online. This is essentially to prevent bogus signups (especially those paying offline).

The table displays the list of potential members to be approved for the selected membership signup form.

Go to Mode: Organisation -> Menu: People -> Membership Signup. This will open the Membership Summary Screen.

Go to Tab: Approve Members

ID

The provisional ID of the potential member.

Name

The name of the of the potential member.

Purchase date

The date the membership purchase was made.

Role

The role relating to the membership product. If approved, the member will automatically be given this role. If a membership signup form allows selection of more than one membership product, then multiple roles will be shown and the member will be given all roles on approval.

Payment Status

The payment status of the purchase:
* Fully paid: the entire amount has been paid for this product
* Not paid: no payment has been received

Click the Edit link to popup an edit screen to view or modify this person's information. Editing at this stage does not affect approval status.

Approving members

The list only shows potential members who have purchased (but not necessarily paid for) membership products. If two products have been purchased then both must be approved together*.

  1. Check the boxes next to the member(s) to approve (or check the "ALL" check box in the table heading to select all members)
  2. Click the Approve Selected button
  3. The results will be shown at the top of the screen
  4. Any members approved will no longer display in this list, instead they will display in the Person List






Once new members are approved, they will automatically be sent a welcome email containing a 'participant' login to the system, whereby they can access and update their personal data, and view their payment history.

*If it is wished to approve only some of the roles for an individual that has purchased more than one product, go to Tab: Reports -> Product Purchases screen and set the Payment Status for products not to be approved as 'Cancelled'. Then return to the approval screen, whereby the cancelled item(s) will not display. 






Deleting prospective members

It is only possible to delete a prospective member where the payment status of all products purchased is 'Not Paid'. If necessary, payment status can be changed from the Product Purchases screen via the Actions link next to the player.





To delete a prospective member: Go to Tab: Approve Members

  1. Click the Delete link of the person to delete.
  2. At the prompt, click OK
  3. Note - this will delete all data relating to the person. Use with caution.
