The Club is responsible for ensuring that players are registered to the correct association

A Club user should perform the following tasks.

Register Members

Before registering members the following tasks will need to be completed.

As a club administrator, do I have to set up this feature?

No. Club does not need to set up anything at their end to get members registered to relevant parent association. It is the parent association who needs to set up membership packages, associated fees and duration so that options will be available at the drop down list "registration type" for club to act upon. 

How do I manage or register for players? 

In order to register members to a specific association for one or more players, you can go Competition participation --> Players -->Registration Manager. Upon person filter list as below image, you can sort out person you want to manage membership status, de-register or register using various search criteria: role, name/ID, type of registration etc. And remember to choose the target association to member with. 

 

 

In this instance, "No type" under registration drop down list has been chosen, which will display all people who has not registered to any association at all. The range of registration type options varies depending on offer configured at the discretion of the parent associations. Now we will proceed to turn these "no type" into the registered. 

As below example, 03 unregistered players was chosen for registration. Upon hitting "Perform action", the window showing available types will appear for selection. Hit "Register participants" and the request has been done with the success message.

Important notes: Registration type will relate with DOB therefore range of ages must meet the configured requirements by parent organization. Otherwise, error notice will appear. 

What  happens next?

Now that you already know how to manage the registration practices and especially how to register or de-register one or more players into or out of an appropriate parent association, what will happen to those newly registered players? And what are the next steps required regarding obligations with parent associations? 

What will happen to the newly registered players?

Players who have been successfully registered with an appropriate association will be able to play in all competitions organized under that association. Basically, he/she could now play and gaining score statistics for any competitions held by the parent organization which he is a member of. As a club administrator, you can now select registered players to a team or assign them to play at competitions held by the aforementioned organization. 

Simultaneously, it means without registration, players could not be part of team or a contestant at any grade arranged by the association. If you try to allocate an unregistered player to a team who will play in a division/grade offered under the relevant parent organization then you will see a decline notice.

What are the next steps required regarding obligations with parent associations?

It is mandatory for club or child organization to forward the total payments to the parent associations upon completing registrations for its members. Club administration should ensure they are clear about singular fee structure and relevant terms and conditions so that adequate explanation is made to players before registering steps. 

System helps to reflect all these offline activities and produce reports for easier financial management. 

 Review Account

Club administrators are recommended to review status of all players who want to participate in competitions held by a certain affiliated association at least 14 days prior to the event date. This enables to ensure due registration procedure and payments are all arranged and the player can then be allocated to team and play legally.
